Agency workflow: onboarding a client onto ChatGPT Ads in 30 minutes

Agencies live on repeatable processes. For ChatGPT Ads, together with our agency customers we've developed an onboarding flow that goes from empty account to first approved campaign in half an hour — provided the client has already created their OpenAI ad account. Here it is, step by step.

Minute 0 to 5: API key and connection

The client creates an API key for their ad account in the OpenAI Ads Manager and hands it to you. In Chatvertise, under Ad accounts, you create a new account, paste the key and name it after the client. The key is stored encrypted; nobody on the team sees it again. The Agency plan allows up to 100 such accounts under one login.

Minute 5 to 10: check account approvals

Open the Ad account page. There you see the brand review status, the account domain and whether a favicon is in place. If the favicon is missing, upload it right there. If the client's shop domain isn't the account domain, the client has to get it verified in the Ads Manager — that's the one step you can't do for them, so trigger it now.

Minute 10 to 15: conversion tracking

For Shopify clients you connect the shop; from then on orders flow in as conversions without code. For other shops you create a conversion event and hand the client the pixel instructions. Important for the next step: the event has to exist before the campaign is created, because it can't be changed later.

Minute 15 to 25: first campaign

For shops with a feed: choose a feed campaign, narrow the product set, set budget and bid. Without a feed: a chat card with title, copy, image and destination URL on the approved domain. The AI assistant in Chatvertise suggests title and copy from the landing page. Create the campaign paused, wait for approval — launch only after the review.

Minute 25 to 30: team and reports

Invite the colleagues who'll look after the account; the Agency plan allows up to 50 team members. Then set up the white-label report: your logo, your colors, the KPIs the client should see. The client gets a link instead of a login — and you no longer get questions about how to use the dashboard.

What comes after the 30 minutes

  • After approval: activate the campaign, set an automation rule as a safety net.
  • After a week: adjust bids based on CTR and CPC, check breakdowns by device.
  • Ongoing: the history documents every change — the best answer to “what did you do last week?”.
